Phoenix Gold Codes for Nursery Stages & Classes
We have been reviewing our reporting requirements and facilities for nursery information to help the Early Years and Information and Research Teams respond to adhoc requests for information and more importantly for use in planning for nursery vacancies etc.
As far as I can tell we don’t have a common set of codes in use across the Authority for recording Nursery stages and classes in Phoenix Gold. Indeed, there are currently 14 different codes in use for recording nursery stages and 25 different codes for recording nursery classes. This has a significant impact on the way we are able to accurately report on the information centrally that is collected from schools via the Phoenix Gold extracts and as a result we are often required to seek the same information from schools as part of an additional paper exercise or have to phone round checking that the numbers we have in our central system match what is held in Phoenix Gold, creating additional workload for both staff at the centre and in schools.
We would like to introduce a definitive set of codes that could be used by nursery schools and primary schools with nursery classes when setting up their new classes and groups for the 2006/2007 academic session and beyond. This would require the codes to be consulted, agreed on and implemented by April 2006 in time for the next admissions and annual school roll forward process in Phoenix Gold.
We would like feedback from yourselves over the next couple of weeks on whether you think introducing a common set of nursery codes across the authority for Phoenix Gold would be a beneficial and feasible way forward to help reduce the amount of duplicate work that this produces, what, if any, day to day implications there would be for yourselves by doing so, and whether the above timescale is realistically achievable.
If the majority of schools are in agreement with the above, the Information and Research Team would produce a set of codes for discussion with admin staff and would also take this to the next Nursery Heads meeting on 8 March 2006.

This sounds a reasonable route to take re codes etc. I have to admit I don't always know how I should be splitting the nursery children so this would probably help me personally.

Phoenix Gold codes for nursery classes
At the moment we only require to know which children are in the morning and children in the afternoon. Our codes reflect this.

Nursery codes
I am not quite sure what you mean regarding nursery codes - are these the prefixes we give the classes? We were told at the beginning of setting up nursery classes on Phoenix that they should all be prefixed by zero followed by either morning or afternoon group i.e OA for morning and OP for afternoon.

Nursery Codes

The codes do refer to the prefixes that are used for classes and for the stage. The codes (or prefixes) for stages currently range from N (Nursery) to APS and PS (Ante Pre School and Pre School) to WL (Waiting List) or N/AM N/PM (Nursery – AM and Nursery – PM) with a number of other variations on the codes in between. The codes for the classes range from NANTE and NPRE (Nursery Ante Pre-School and Nursery Pre-School) to NAM and NPM (Nursery Morning and Nursery Afternoon) or 0WL (waiting list class?) with a large number of variations on the prefixes yet again in between. You can see how this confuses matters, even when asking the system a simple question like how many ante pre-schoolers and pre-schoolers we have across all our schools/classes.

Phoenix Nursery Codes
We have been using the OA and OP prefixes and it seems to have worked o.k. The main problem we have is that when we do the Annual Update it moves all the children from the waiting list into current pupils and I then have to move them all back manually!! I did speak to the helpdesk about it but they were unable to help!!
